Actual costs for this day (material, transport, welfare… — only what was spent today)

This month

Click a day to edit it. Monthly costs (salaries, electricity, water…) are split over every calendar day of the month, so a closed day still carries its share.

Add petty cash

Money spent goes into that day's P&L under the item you choose. “Not an expense” (staff advance, bank deposit…) only changes the cash balance.

Sale items that need a cost

These items are not Konica prints, flex or PVC, so the app cannot work out their cost. Type what ONE costs you (e.g. one mug, one frame, one laminating pouch) and press Save. If the cost follows the price, type a % instead — e.g. a phone reload costs about 96% of what it sells for — it moves to the saved list below and is used for every sale from then on, so you never enter it twice. Press “No cost” for services like art work or design.

Konica click rates (Rs. per click)

Used for days imported or saved from now on. A day keeps the rates it was saved with, so changing a rate never changes old days.

Flex & PVC

Flex and PVC are sold by the square foot: “7x3 flex print” with qty 21 = 21 sq.ft. If the qty is the number of pieces (e.g. qty 1), the size in the name is used (7x3 = 21 sq.ft each). “with 4 rings” counts 4 rings a piece; just “with rings” counts 4. Sizes are feet unless the name says inches. Put what ONE sq.ft and ONE ring cost the shop — the app multiplies by the sq.ft and rings sold each day. The selling price is different for each job; the list below shows what each item really sold for per sq.ft (rings taken out).

Saved item costs

Change a cost here when a price goes up. “Remove” sends the item back to the list above.

Which sale items use the Konica

“Paper / material each” is optional: the sticker sheet or board cost on top of the click. Every item from the sales sheet is sorted automatically: A4 / print / sticker / board items are Konica clicks, colour unless it says photocopy, B&W or print out; sizes bigger than A4 (10.5x15, 10.5x12.5, 10.5x17.5, 12x18, A3…) count double; d/side counts 2 clicks. Flex, PVC, mugs, frames, laminating etc. are not Konica. If a guess is wrong, change it here once — it is remembered for every month.

Monthly costs

Enter the full monthly amount. The app divides it by the number of days in that month (30 or 31) and adds that share to every day's P&L. A new month starts with the previous month's figures — change only what is different (e.g. this month's electricity bill).

Import daily sales from Excel

Choose the monthly “Individual Sales” sheet. The app reads each date's Total row (Net Sales) as that day's revenue, and every item line for the Konica clicks and the sales-by-type report. Costs and extra clicks you entered are kept.

Just choose the file (or drag it here) — the columns are found by their headings, so it still works if a column moves. Import the same month again any time; days are updated, nothing is added twice.

Cloud backups

Everything is saved online automatically. The cloud also keeps a copy of the data every day (for 2 years) and a copy before every change (last 200). If something is entered wrong or deleted, pick a copy from before it and press Restore. Restoring also keeps a copy, so it can be undone.

Backup file

Extra safety: download a file copy now and then and keep it on Google Drive or a pen drive.

Passwords

You are the admin: you see profit, costs and backups and can change them. Give the cashier their own password. With the box below off, the cashier only enters sales, extra clicks, costs of the day and petty cash; with it on, the cashier can also see the P&L and change costs.

Even with this on, only the admin can see or restore backups, change passwords and remove saved days.
